Customs Notifications

Overview

The customs notification works in 2 stages:

First, the customs notification is created by pilots, external pilots and homebased member pilots. After activation of a created form by the pilot, admin has access to activated notifications. The notification is not sent to the customs authority yet.

Second, the customs notification is sent to the customs authority. This is the first time the authority is informed about the planned flight.

Creating a notification

The pilot creates a customs notification and saves it. SAVE = saving the entered data. The notification is accessible by the pilot for future amendments.

The pilot has to enter flight data as well as personal data for all persons on board. Unless the minimum required data is not entered, activation of the customs notification is not possible.

After entering all required data, the pilot activates the notification. ACTIVATE = Declare it is ready to be sent to the customs authority and let the admin know. Admin sees saved notifications highlighted in yellow. Admin cannot edit a saved notification except entering comments. Changes of data have to be made by the pilot.

Deadline

The airport agrees with the customs authority on the specific deadline the authority has to be informed about the pending flight. In this example, the authority required to be informed 2 hours in advance of the departure or arrival time of a flight.

Sending the customs notification to the customs authority can be initiated manually or can be an automated process.

Sending to the customs authority

Flying Fleet lets the airport decide whether the the activated customs notification has to be checked manually or not.

If a manual check and manual approval is required by the airport, Flying Fleet can be set up that way.

If automatic approval is chosen, Flying Fleet sends the customs notification automatically to the customs authority. This happens exactly 20 minutes before the deadline. From this moment the customs notification is “frozen”. Admin sees sent notifications highlighted in green.

Frozen status and permitted actions

The pilot is not permitted to edit any data in the customs notification.

The admin is not permitted to edit any data except the comments. This is a requirement by the authority.

Changes to the planned flight after sending

From the moment of freezing, any changes or amendments have to be done only in personal coordination and with permission of the authority. This means the admin or a designated person at the airport has to phone call the authority and get the permission for requested changes. Once obtained, admin can amend the “comments” field of the notification form. All details of the agreed changes should be entered here. Admin saves. SAVE = Notification will be sent to the authority including amended “comments”.

To delete a frozen notification use CANCEL NOTIFICATION
